Engagement Process

Briefing

Let’s start with a conversation. We can discover your requirements and explain how and if we can help. At this stage there’s no commitment to any fees. It’s important to set expectations from the start.  You will need to understand how we work, what are fees will be and what we will need from you.  Whether it’s a recruitment task or an HR consultancy service we need to work with you and that requires you to be able to set aside time to communicate with us.

Scope Requirements

Once you have decided that you are keen to engage us, we need to discuss the scope of your requirements and that will require us to ask questions so that we get a solid understanding of your business and your needs. We will want to understand the company culture you are trying to build and what your broad aims and strategies are. We can gather some information from your website, but it is no substitute for discussing the company with its members.

Contract

Depending on the assignment we can offer a variety of options. For Recuitment services there are retained, contingency and managed recruitment services. For HR Advice there is either a fixed fee or a Managed HR Advisory service.

Proposal

We will then prepare a formal proposal for your consideration.  If it’s a recruitment task we offer Retained, Contingent and Managed Recruitment Services.

Retained. In this case you agree that we become the sole agency that you are using, and we include all candidates, including those you may have come across in the selection process.  Why would you choose a Retained Service? Well, it allows a structured approach s that all candidates are assessed using the same tools and it comes at a lower rate because we aren’t competing with other agencies.

Contingent. With a contingent service you only pay if one of our candidates is successful. This system can be less effective as you are receiving candidates from other sources who may not have been through the thorough selection process that TOP People applies. It also costs more as we will conduct the work without any guarantee of payment.

Managed Recruitment Service. If you have a lot of recruitment to be done, for example as you are ramping up a project, we can agree to conduct your entire recruitment at a reduced fee.  We have experience of this on a number of mining projects and our clients have found it a cost-effective way of meeting their needs on an agreed schedule.

Consultancy Service. Our proposal for a consultancy service will include agreed timelines and a set hourly rate. We know how long it takes us to write a policy or a procedure and we can set solid expectations so that there’s no budget stretch. Having said that we know that things can change so the proposal will include options for extensions, but these will be entirely dependent on your authorisation.  There will be no hidden costs or nasty surprises when we submit an invoice.

Recruitment - Identifying candidates

We search for both passive and active candidates employing advertisements, internet and database search, and the most effective tool, networking. It’s our policy to investigate thoroughly and to provide you with a spreadsheet showing all that have applied and how we have initially rated them using our Essential Criteria Tool. This weekly update allows you to keep abreast of our progress, to review the quality of the candidates we are considering and to make tweaks to the selection criteria.

Recruitment - Presenting the shortlist

Those included on our shortlist should have the necessary skills and experience to fulfil the role. If we have done our job right your final shortlist should be more about cultural fit. Is this someone that you believe will fit and flourish in your team. You need to assess whether you going to be comfortable working alongside the new team member.
